Forrest & Virginia Green Mezzanine-Gallery

Policies & Procedures for Exhibiting

(Subject to change)

Individual artists seeking consideration for exhibition opportunities in the Forrest and Virginia Green Mezzanine-Gallery should submit the following:

  • Current resume

  • Artist’s statement

  • 10-20 recent proposed works on CD or slides

  • Supportive materials

  • Self-addressed stamped envelope for the return of materials 

Slides and photography must be clearly labeled with the following:

  • Artist

  • Title

  • Dimensions

  • Media 

Digital media or slides will be retained permanently by the committee as reference material for all potential and/or booked exhibits.  All other slides and supportive material presented for consideration will be returned when a decision has been made.

As a rule, exhibitions remain in place for an entire month.  Exhibits may be scheduled as much as one to three years out.  In some instances the gallery wall may be divided up for multiple exhibits to occur at the same time.

Exhibition Proposals by Arts Organizations

The City of Richardson and the Charles W. Eisemann Center has first priority on scheduling and use of the Forrest and Virginia Green Mezzanine-Gallery.

Richardson based visual arts groups that are non-profit 501 (c)(3) organizations whose primary purposes are the establishment, promotion, practice of, or support for secular visual arts activities, and who receive consistent grant support from the City of Richardson, will be given special consideration for exhibiting. 

Independent artists and non-resident visual arts groups, both non-profit and commercial, that have been in existence for at least three years with documented record of producing and mounting exhibitions, will be eligible to submit exhibition proposals to the Eisemann Center’s Art Gallery Coordinator.  All such requests are subject to space availability, and exhibit content.

Occasionally the Eisemann Center may issue RFP’s (Requests For Proposals) for special exhibits of a predetermined style or subject matter that invites artists to submit works for consideration and possible inclusion in the exhibit.

The Eisemann Center Managing Director or his/her designee has full responsibility for the scheduling and operation of all exhibition spaces.  The Eisemann Center may involve consultants and/or practitioners of the visual arts in a juried selection of exhibits when deemed appropriate.

Exhibit Time Periods

The Forrest & Virginia Green Mezzanine-Gallery space is set-up to host exhibits lasting approximately one month in length including installation and removal dates.  As a rule exhibits will be installed on the first business weekday of a new month and removed on the last day of the month.  Due to extensive weekend programming, installation and removal of exhibits on weekends is not permitted.

In order to have the gallery wall restored and available for the next exhibit, it is important that all exhibits be removed promptly and in their entirety on the day scheduled.

Artwork may not be delivered early or remain after that will require the Eisemann Center to provide storage.  Any exceptions to this rule must be agreed to in advance, but at all times the Eisemann Center will not be held liable or responsible for any damages to the artwork.

Gallery hours for public viewing are Monday – Saturday, 10:00 AM – 6:00 PM, and during all public events on nights and weekends.  There is no charge to the public to view the gallery.

Exhibit Presentation Content

The artist/organization must provide a complete list of works to be exhibited with a price list and/or insurance values before installation of the exhibition.  Information about the artwork should be listed in the following manner: 

  • Artist

  • Title

  • Date

  • Medium

  • Dimensions

  • Sale price (if applicable)

If an item is not for sale, then indicate with “NFS” and include a value for insurance purposes.

At the time of move-in and installation, the City of Richardson reserves the right to exclude any works, including certain works that may be determined to be obscene or illegal in accordance with the laws of the State of Texas for display at the Eisemann Center, a publicly owned and operated facility.  Other works may be excluded due to excessive numbers, excessive size or weight or exceptional monetary worth that would require additional security, or for any other reason deemed appropriate.  The Eisemann Center will not remove any artwork after the exhibition has opened, unless by mutual agreement with the artist and/or client organization.

The Eisemann Center being a publicly owned and operated facility, must assume the responsible position of only permitting exhibits that are appropriate for all ages.  Events in the Eisemann Center cover a wide range of programming styles bringing in audiences of all types.  Therefore content of exhibits must be suitable for general audiences of all ages and backgrounds.  The Managing Director has the right to post a notice of exhibit content if deemed necessary.

Sale of Exhibit Art Works

The sale of artwork in the Eisemann Center is between the artist and the individual buyer.  While the Eisemann Center does allow exhibiting artists to provide information concerning the prices of artwork exhibited, the Center will take no responsibility for promotion of sales of an individual artist’s work.  Delivery or third party shipping of sold works is the responsibility of the artist.

A 20% sales commission from the artist on all artwork sold as a result of an Eisemann Center exhibition may apply.  Commission charges for all sales shall be set out in these policies and may be revised without notice at any time by the Eisemann Center Managing Director.

No artwork, regardless of whether it has been sold during an exhibition or before installation, may be taken from the exhibition until the ending date of the exhibit agreement.  It is the responsibility of the artist or client to notify the Eisemann Center in writing if a third party is to pick up artwork at the conclusion of the exhibition.

Individuals or organizations engaging in the sale of artwork while on display at the Eisemann Center are required to report sales and submit the proper tax amounts to the State Tax Comptroller.  The City of Richardson and the Eisemann Center are not responsible for the reporting of these sales.

Receptions

If artist or client organization wishes to book a reception for their private collectors/buyers and friends to be held at the Eisemann Center, the function must be scheduled in advance and is subject to the rental and usage policies and availability of the Eisemann Center.

Services and Personnel Provided by the Client

The artist or client organization agrees to be responsible for all aspects of organizing and mounting an exhibition, including all applicable expenses.  Expenses may include but are not limited to items such as:

  • Printing and postage for invitations/announcements

  • Reception costs

  • Transportation of artwork to and from gallery

  • Insurance for artwork in transit and on the premises of The Eisemann Center

  • Any materials including hardware, tools, or other materials necessary for the installation of the exhibition.  Including any labels or signage.

  • Design and labor for the installation and removal of artwork

  • Artwork that requires surfaces other than the wall space must be provided by artist. (i.e. pedestals for sculptures, etc.).

  • Security costs if deemed necessary for the nature and type of exhibit.

  • Any costs associated with repairs to the gallery wall that are attributable to the exhibit that exceed normal wear and tear.

Services and Personnel Provided by the Eisemann Center

A representative of the Eisemann Center will meet with the client wishing to utilize the Gallery space for a visual arts function or exhibit to discuss the following:

  • Any recommendations regarding content or presentation of the exhibitions.

  • Information regarding move-in, installation, move-out and reception policies and procedures.

  • Materials approved for installation of artwork.

  • A member of the Eisemann Center staff or their designee will be present at all times during the move-in and/or move-out of an exhibition.

  • The Eisemann Center has trained individuals who are familiar with the exhibit space who can be made available to the client organization for assisting with the installation and removal of the exhibit.  In such cases it will be the responsibility of the client organization to independently contract these individual(s) for their services.  Please contact the Eisemann Center for further information.  The Eisemann Center highly recommends that exhibitors utilize the services of these individuals

These policies and procedures will be reviewed on a regular basis and amended on an as needed basis.
